🎈 Sensorium Birthday Party Policies
📅 Reservation & Payment
-Booking Deadline: Reservations must be made at least 14 days prior to the reserved party date.
-Deposit: A non-refundable deposit of $150 is required within 24 hours of application to finalize the reservation.
-Final Payment: The remaining balance (excluding the deposit) must be deposited 10 days prior to the birthday date.
-Cancellation & Rescheduling: Cancellation and date changes are possible up to 10 days prior to the event. Date changes are subject to the studio's availability.
-Non-Refundable Policy: Once the final balance payment is completed (10 days prior to the party), the entire payment amount is non-refundable.

⏰ Party Time, Access, and Setup
-Party Start Time: The party should start between 2 and 4PM on Saturday.
-Studio Entry: You may enter the studio 20 minutes prior to the party start time on the day of the event.
-Decoration Setup: You have 15 minutes for decoration setup. Decorations involving fire or items that cannot be easily reversed or returned to their original state are not permitted.
-Staff Assistance: One or two Sensorium party hosts will be provided to assist with setup, check-in, and clean-up.

🍕 Food & Beverage Policy
-Food Options: You may order pizza through us, or you can bring your own food, beverages, and desserts.
-Prohibited Items: Alcohol and hot beverages are not allowed.
-Cooking/Heating: Hot food preparation equipment, such as burners or warming plates, is not permitted. Only a lighter for birthday candles will be provided.
-Eating Area: All food and beverages must be consumed only in the designated eating area. We ask for cooperation in maintaining cleanliness.
-Storage: A small refrigerator and freezer (6.9 cu ft) are available for storing cakes and desserts.

👨‍👩‍👧‍👦 Guests & Space Usage
-Total Participants: The listed party price is for the minimum number of guests. Please select 'Additional Child' in the 'Add-ons' feature to adjust the cost for your total party headcount.
-Attendance of adults: The price stated above is for the birthday party held as a drop-off event, meaning the children are separated from their guardians. Parents of children aged 3 and under must provide supervision for their child. An additional fee will be charged for every five accompanying adults (after the initial limit). The birthday child's two guardians may attend free of charge and are excluded from the additional adult fee calculation.
-Activity Participants: The maximum number of children participating in the birthday activity is 18 children.
-Total Party Capacity: The maximum total party size, including all adults, is 45 guests.
-Seating Setup: The Main Hall will be set up with seating tables for celebration and dining, corresponding to the number of children participating in the activity.
-Non-Participating Children: Children under the suggested age for the main activity can use the Patio Gardening Play, Children's Easel Drawing, or the Reading Zone in the main area.
-Parent/Sibling Stay: Parents and siblings are welcome to stay in the Main Hall. They can observe the children through the windows, and parents may enter the separate classroom to assist the children, depending on the activity's age requirements.
-The starting price covers the minimum party size. For any additional children participating in the activity, please select the appropriate add-on for each extra guest.

🎭 External Entertainment
-Pre-Approval: Any external entertainment (e.g., character performers, face painters) must be pre-approved by the Sales Coordinator.
-Time & Location: External entertainers and vendors are permitted to operate only within the private party room and only during the reserved party time.

*Liability and Indemnity
Children's Sensorium is committed to providing a safe and supervised environment. However, by participating, all guests acknowledge the inherent risks of sensory and art activities and agree that their participation is entirely at their own risk.

Children's Sensorium, its staff, and instructors shall be held harmless and are not responsible for any personal injury, accident, or property damage sustained by guests during the duration of the party.

The parent or legal guardian assumes full financial responsibility for any damages caused by their children to the studio's equipment, property, or facility.

*Media Use Policy
Children's Sensorium reserves the right to capture photos and video footage of the activities and setting for use in marketing and promotional materials.

Should the client prefer that photos of their child not be used, they must notify the studio in writing prior to the event date.

*Waiver and Acceptance of Terms
By submitting the deposit for the party, the client expressly agrees to the following conditions:

I/We hereby release and discharge Children's Sensorium and all associated personnel from any and all liability, claims, or causes of action for injury or damages arising out of participation in the birthday party or related activities. I affirm that participation for myself and/or my children is voluntary. I confirm that all guests and their parents have been advised that photos may be taken and used exclusively for Children's Sensorium's marketing purposes. I/We agree not to initiate any lawsuit or claim against Children's Sensorium regarding matters covered by this agreement.
